Polymake Productions ("Polymake," "we," "us," or "our") is a custom 3D printing and 3D scanning service based in West Babylon, New York. This Privacy Policy explains what information we collect through our website (the "Site"), how we use it, how it is stored and shared, and the choices you have regarding your information.

This policy applies only to information collected through the Site and direct communications with us. It does not cover information we receive through other channels unless indicated.

2. Information We Collect

Information you provide directly:

  • Contact information: your name, email address, phone number (optional), and company name (optional) when you submit a quote request or contact form.
  • Project details: the service requested, project type, material preferences, color, quantity, intended use, and any project description you provide.
  • Uploaded files: 3D model files (such as STL, STEP, OBJ, 3MF, IGES), reference images, drawings, and other files you choose to upload for quoting or production.
  • Messages: messages you exchange with us through your dashboard quote thread or our contact form.
  • Account information: when you sign in, your email address and name are provided through our authentication provider to associate your quotes and orders with your account.

Information collected automatically:

  • Account and order records: we maintain records of your quotes, orders, payments, and communications to provide and fulfill our services.
  • Technical data: our hosting platform logs standard technical information such as IP address, browser type, and request timestamps for security and service operation. We do not use third-party advertising or analytics tracking on the Site.

We do not collect Social Security numbers, government identification numbers, or full payment card details. Payment card information is handled directly by our payment processor (see Section 5).

3. How We Use Your Information

We use the information we collect to:

  • Review and respond to your quote requests.
  • Communicate with you about your project, pricing, order status, and delivery.
  • Manufacture, inspect, and fulfill your orders.
  • Process payments and maintain transaction records.
  • Provide customer support and respond to your inquiries.
  • Operate, maintain, and secure the Site and our services.
  • Comply with applicable legal obligations.

We do not sell your personal information. We do not use your information for advertising or automatically subscribe you to marketing email solely because you submitted a quote. Any optional marketing communication would require your separate consent.

4. AI-Powered Features

The Site includes AI-powered features: a chat assistant, optional material recommendations, and an internal price-estimation tool. When you use these features, the information you enter (such as project descriptions or chat messages) may be sent to a third-party AI language model provider to generate a response. Do not share sensitive personal or financial information through the chat assistant. AI responses are provided for general informational purposes only and do not constitute binding quotes or professional engineering advice.

5. Payment Processing

We use Stripe as our payment processor. When you pay for an order, you are directed to Stripe's secure hosted checkout. Your payment card information is collected and processed by Stripe and is not stored on Polymake's systems. We receive from Stripe a confirmation of payment, the amount paid, your email address, and limited transaction metadata. Stripe's use of your payment data is governed by Stripe's own privacy policy and applicable payment regulations.

6. How Your Information Is Shared

We do not sell or rent your personal information. We share information with the following categories of service providers as necessary to operate our business:

  • Hosting and platform provider (Base44): hosts the Site, stores the database (including your quotes, orders, files, and messages), provides authentication, file storage, and email delivery.
  • Payment processor (Stripe): processes payments as described in Section 5.
  • AI language model provider: receives information you submit to AI-powered features as described in Section 4.
  • Email delivery: used to send you transactional emails such as quote confirmations and status updates.
  • Internal admin notifications (Telegram): when you submit a quote or order, a brief summary (such as your name and the service requested) may be sent to an internal admin notification channel so our team can respond promptly.

We may also disclose information if required by law, court order, or government authority, or in connection with a business transfer, merger, or acquisition. Service providers are bound by their own privacy and security obligations.

7. Uploaded Files

Files you upload (3D models, images, drawings, documents) are stored by our hosting provider and used to quote, manufacture, inspect, and fulfill your order. We limit access to your files to personnel who need it to process your request. We do not use your uploaded designs for marketing purposes without your separate permission. File URLs generated by our platform are not readily guessable, but you should avoid sharing sensitive or confidential content unless necessary for your project.

8. Cookies and Local Storage

The Site does not use advertising cookies, third-party tracking cookies, or analytics tracking tags. We use first-party browser local storage for limited functional purposes such as remembering your chat conversation during a browser session, enforcing reasonable message and submission limits, and saving your display preferences. This local storage is stored on your device and is not shared with third parties. You can clear local storage through your browser settings at any time.

Because we do not use non-essential tracking cookies, no cookie consent banner is required, and we do not engage in cross-site behavioral tracking.

9. Data Retention

We retain your information for as long as necessary to provide our services, fulfill orders, respond to inquiries, maintain business records, and comply with legal obligations. Quote and order records are generally retained for the duration of your relationship with us and for a reasonable period thereafter for record-keeping and dispute purposes. You may request deletion of your personal information at any time, subject to our legal record-keeping obligations.

10. Your Rights and Choices

Depending on your location, you may have the right to:

  • Request access to the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your personal information (subject to legal obligations).
  • Opt out of any optional marketing communications.
  • Withdraw consent where processing is based on consent.

11. Security

We take reasonable technical and organizational measures to protect your information, including access controls, row-level database restrictions, and secure handling of payment processing through our processor. However, no system or internet transmission can be guaranteed completely secure. We cannot guarantee absolute security of your information.

12. Children's Privacy

The Site and our services are intended for business and professional users and are not directed to individuals under 18 years of age. We do not knowingly collect personal information from children. If you believe a minor has provided us with personal information, please contact us so we can delete it.

13. Business Transfers

If Polymake is involved in a merger, acquisition, or sale of all or a portion of its assets, your information may be transferred as part of that transaction. We will notify you via the Site or by email if your information is transferred to a new entity with materially different privacy practices.

We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised "Last updated" date. Material changes will be communicated through the Site. Your continued use of the Site after changes take effect constitutes acceptance of the updated policy.
